Since you are the chair, you can organise it as early as possible
!! It is always better to organise it sooner rather than later !!

Duncan and Tom have kindly offer to help out the next round of
organising, in case of eventualities. This will be a good tradition for
AKT DC to pass on and preserve knowledge, if this is ok with you and
other PCs !!
