The letter that is going to your parent/guardian reads as follows, and below
that is the email that has gone out the UK Junior scene:
Dear Parent/Guardian
On 30th June and 1st July I am helping to host the UKUA Junior National Outdoor
Championships in conjunction with Sutton Coldfield Rugby Club at the Roger
Smolden Ground, 160 Walmley Road, B76 2QA. A number of teams from around the
country have already confirmed they will be attending to compete for the crown
of Junior National Champions, and your child has expressed an interest in
playing for one of the school¢s Arctic Ultimate teams that will be entered into
the tournament.
Games will run from approximately 0900 to 1700 on both days, and you would be
responsible for arranging for your child to be dropped off at the tournament,
and collected at the end of each day¢s play. There is camping available onsite
for those teams who have a long way to travel and are looking to minimise the
cost of the weekend. However Arthur Terry students are NOT invited to camp as
this would create additional organisational work and supervisory responsibility
for me, both of which would be unnecessary as each student has their own comfy
bed a couple of miles down the road! I would expect all Arctic players to have
left the site by 1900 at the very latest on Saturday. Please make sure you know
what your child is doing on the Saturday night, and that s/he comes back ready
to fully participate in and enjoy the Sunday.
During the days I will be accompanied on site by other members of Arthur Terry
staff to keep an eye on the Arthur Terry students in compliance with LEA
guidelines, so there will be sufficient adult supervision during the weekend.
However there will be certain amount of free time so we expect all students to
act sensibly and not to wander off. I must emphasise this point as the
tournament is on local and familiar territory for our students, and they may be
tempted to think they can come and go as they please. All students must be
dropped off at and collected from the tournament, and other than this may not
leave the site without explicit permission from staff and accompaniment by a
responsible adult. There will be limited security for belongings at the
clubhouse, so I advise nothing that cannot be replaced should be taken. In case
of injury, your child will be checked over by first aid at the tournament, and
may be taken to the nearest hospital where medical advice will be
followed. Please confirm on the reply slip that the medical form I currently
hold remains up do date, or advise me of any changes, including any food
allergies or medication being taken.
I have obtained funds from school to cover the cost of entry to the tournament
and insurance. There are no accommodation or travelling costs. Food will be
available for purchase from the clubhouse during the day, though obviously
students can bring their own provisions with them. Lookfly, a company
specialising in equipment and merchandise related to Ultimate (they make the
school kit), will be at the tournament on the Sunday afternoon, and will have
items for sale. I encourage family and friends to come and watch and support
those they know and the Arctic teams, and watch the best Under 20 teams in
Britain.
Providing you are happy for your child to attend the tournament please sign and
return the attached consent form as soon as possible, and no later than Friday
22nd June. Please also attach relevant medical and consent forms etc if

Hi All
Junior Nationals is taking place on Saturday 30th June and Sunday 1st July this
year. The tournament is taking place in association with Sutton Coldfield Rugby
Club at the Roger Smolden Ground, 160 Walmley Road, Sutton Coldfield, West
Midlands, B76 2QA.
For those teams that need it, camping is available onsite for the Friday and
Saturday nights at the ground, where there is access to toilets and showers at
the clubhouse. Please let me know if you are planning to camp on either or both
nights so I have an idea of numbers. The cost of camping is included in the
entry fee.
Food and drinks will be available to buy during the day from the clubhouse, and
cooked breakfast will be available on the Sunday morning. At the moment assume
you will have to pay for breakfast too, but once all the money is sorted out, if
its possible I will pay a lump sum to the people putting it on include it in the
entry fee. Walmley High Street, which has the usual array of shops and
takeaways, is about half a mile down the road, and a couple of miles further on
is a massive Walmart ASDA superstore. We have access to the clubhouse on the
Saturday evening. I am hoping that the bar will be open, though it may only be
serving soft drinks (not an issue for most of you). I hope to have some kind of
entertainment lined up (this is currently to be confirmed, perhaps a quiz and/or
party of some sort, or MAC line competitions or something). Anyway, we are
usually pretty good at amusing ourselves, and there are plenty of bowling and
cinema options available nearby if you fancy
that.
Some details may change as I hope to meet with Sutton Rugby Club this weekend to
finalise details. I will post out any changes, but do not anticipate there being
(m)any.
IMPORTANT
I'm hoping this is going to be a goood venue to use in terms of facilities and
location, and would like to think it will be one that we use again in future if
all goes well. My first bid to get access to it failed as they were nervous,
particularly about the camping and potential associated problems with behaviour,
damage to site, and risk of litter etc. They are a rugby club, so their concerns
will be based on what they know. A couple of us have had to work hard to assure
them it will be OK. We have had to put a load of measures in place (more details
later and in captains packs etc) to allay their fears, as well as telling them
how the Ultimate community is unlike most other sporting communities, with a
much more developed sense of responsibility. It's your sport, it's your
tournament, it's your reputation. DON'T LET YOURSELVES DOWN!!
